Senior Purchasing (Office Interior Contractor)

ABOUT THE ROLE

As a key member of our Procurement department, you will play a vital role in sourcing and managing the procurement of materials and services required for our office interior projects. 

 

JOB RESPONSIBILITIES

1    Sourcing and Procurement:

  • Source and evaluate suppliers and vendors for interior furnishings, materials, and equipment.
  • Negotiate prices, terms, and delivery schedules with suppliers.
  • Ensure the availability of the best quality products within the project budget.

2    Purchase Order Management:

  • Prepare and process purchase orders for interior materials and items.
  • Ensure timely and accurate order placement to meet project timelines.
  • Track and manage orders to ensure prompt delivery and resolve any delays or issues.

3    Vendor and Supplier Relationships:

  • Develop and maintain strong relationships with vendors and suppliers.
  • Coordinate communication between vendors and project teams to ensure all requirements are met.
  • Manage vendor performance and resolve any issues or discrepancies.

4   Inventory and Budget Management:

  • Monitor inventory levels of furniture, materials, and accessories.
  • Work closely with project managers and design teams to adhere to project budgets.
  • Assist in preparing cost estimates and track costs against budget during the procurement phase.

5   Documentation and Compliance:

  • Maintain accurate records of all purchased items, including invoices, delivery receipts, and warranty information.
  • Ensure compliance with company policies, industry standards, and regulatory requirements in procurement processes.
  • Ensure product specifications and certifications to ensure quality and safety standards. 
  • Ensure the accuracy of each requirements and scope of work in Surat Perintah Kerja or any related documentations.

6   Quality Control and Inspection:

  • Ensure all products meet the required quality standards and specifications before acceptance.
  • Work with suppliers to address product defects or issues upon delivery.
  • Inspect and oversee the quality of items upon delivery, ensuring they are free from damage.

7   Project Coordination:

  • Collaborate with interior designers, project managers, and other stakeholders to ensure the timely delivery of materials and products.
  • Monitor the project’s material requirements and make adjustments as necessary to meet project goals.

8   Payment

  • Assure payment proposals to Finance department are complete and on time.
  • Maintain payment progress and updated to each of related parties required.

9   Market Research and Trend Analysis:

  • Stay informed about current trends in interior design and sourcing materials, furniture, and fixtures.
  • Research new suppliers and product options to continually improve purchasing strategies.

10 Report

  • Submit accountable work reports to Superior within specified time.

 

QUALIFICATIONS

  • Bachelor's degree in Supply Chain Management, Engineering, Logistics, or a related field
  • Minimum 5 years of experience in a senior purchasing or procurement role, preferably within the office interior or interior industry
  • Strong commercial acumen and negotiation skills
  • Excellent organizational and multitasking abilities
  • Excellent communication and stakeholder management skills
  • Proficient in using procurement and inventory management software
  • Ability to work under pressure and meet deadlines
